Job Description: 

We are actively seeking a Program Associate (PA) for the Population and Reproductive Health (PRH) program. You will possess a deep commitment to the values and mission of the Packard Foundation and goals of the PRH program. You are highly organized and efficient, flexible yet thorough, and able to manage multiple tasks efficiently while working in a cross-cultural team environment.

Responsibilities
• We seek a program associate who will report to the Program Operations Manager and work closely with the Program Officer responsible for the South Asia and Global subprograms. Your duties will include, but not be limited to, the following:
• Maintain positive and productive relationships with a wide range of organizations and individuals; correspond and meet with grantees and partners that are based in the U.S. and internationally
• Partner closely with teams of country advisors based in Delhi, India and Karachi, Pakistan to deliver a seamless experience to prospective and current grantees
• Coordinate and contribute to the timely preparation of grants, including reviewing proposals, entering data, and drafting summary documents
• Monitor proposals and active grants for Foundation legal, financial, and program compliance requirements
• Serve as project manager on select initiatives, including international site visits for Trustees and executives; effectively influence team members to complete tasks without having direct authority
• Understand and be able to effectively communicate the PRH strategy and theory of change; participate in strategy refinement and monitoring, evaluation, and learning activities as needed
• Create, monitor, and maintain grant files in Fluxx (grants managements online system) according to Foundation guidelines
• Monitor the subprogram grant budget in partnership with the Program Officer and the Program Operations Manager
• Contribute to regular program memos, guest speaker events, and program forums to enable learning across the Foundation
• Identify opportunities for efficiencies within the program, South Asia and Global subprograms, and collaborate with teammates to implement system and process improvements
• Train and onboard new India-based team members, as needed
• Participate in and occasionally lead meetings; as needed take notes, keep records, and track and implement action items
• Lead and participate in calls that are often outside of standard U.S. business hours (early morning or late evening)
• Coordinate site visits and meetings, in collaboration with grantees and country advisors
• Respond in a timely, professional, and courteous manner to inquiries and other requests for information
• Other duties and projects as assigned

Knowledge, Skills, and Abilities
• Knowledge and understanding of and interest in issues of reproductive health and rights, including abortion rights, comprehensive sexuality education, and contraception/family planning
• Meets deadlines and completes tasks (both internal and external) with a high degree of accuracy and dependability
• Highly effective written and oral communications skills; actively participates in group meetings
• Derives satisfaction from operational and administrative successes and takes pride in contributing to improvements in those processes
• Detail-oriented with excellent proofreading skills
• Able to complete multiple competing tasks and coordinate a variety of projects with well-developed organizational skills
• Manages and prioritizes own time and uses strong judgment skills to handle non-routine matters
• Able to anticipate information needed by others as situations and projects develop
• Consistently interacts with others in a professional, courteous, and tactful manner; maintains a positive attitude and willingness to pitch in to a team
• Works effectively with others across many diverse cultures and backgrounds
• Demonstrated leadership skills and ability to suggest and implement process improvements when needed
• Flexible and able to work with humor and grace under pressure
• Excellent skills and strong knowledge of Outlook, Word, Excel, and PowerPoint
• Willing to learn and become proficient in applications including Fluxx and SharePoint
• Consistent and dependable for full-time work and willing to work overtime when occasionally required by the team
• Able and willing to occasionally travel to conferences and grantee meetings both domestically and internationally
• Experience with organizations in South Asia, preferred

Qualifications: 

Education and Experience
College degree or equivalent education and work experience and a minimum of 5 years of related administrative and support work experience

Benefits and Compensation
We offer an excellent benefits package and a salary that is commensurate with related work experience. The position is located in downtown Los Altos, CA. It is full-time and nonexempt.
