AAPIP Executive Assistant

Job Type: Full Time, Exempt
Salary: $65,000 – $75,000 plus a generous benefits package (medical, dental, vision)
Location: Remote (with required travel for events)

THE OPPORTUNITY
Asian Americans/Pacific Islanders in Philanthropy (AAPIP) is the only national membership-based non-profit organization in philanthropy dedicated to advancing racial equity by expanding and mobilizing resources for Asian American, Native Hawaiian, and Pacific Islander (AANHPI) communities. Anchored by national staff and a strong chapter network, AAPIP works to build power, strengthen leadership, and move money in service of a more just and equitable society.

Reporting to the President & CEO, the Executive Assistant (EA) stewards executive priorities, supports board governance, and strengthens cross-functional alignment across AAPIP. Serving as a central connector within the organization, the EA ensures that strategic objectives translate into coordinated, thoughtful action. This role requires both meticulous attention to detail and the ability to hold the broader organizational picture, balancing immediate operational needs with longer-term priorities.

The EA exercises sound judgment, diplomacy, and discretion in working with staff, Board members, funders, and community partners. Grounded in a deep commitment to AAPIP’s mission and values, the Executive Assistant brings steadiness, adaptability, and care to the work, helping to sustain continuity, clarity, and alignment during a period of leadership transition and organizational growth.

CORE RESPONSIBILITIES & IMPACT
Executive Support

  • Support effective calendar scheduling and strategic prioritization of meetings, ensuring protected time for preparation, travel, and focused work blocks
  • Maintain proactive and timely communication regarding scheduling changes, conflicts, and follow-up
  • Ensure awareness of upcoming commitments and responsibilities; anticipate needs in advance of meetings, conferences, events, and travel
  • Support email management and correspondence flow in a fast-paced environment; help determine what requires executive attention and ensure thoughtful delegation when appropriate
  • Maintain strict confidentiality and exercise discretion when handling sensitive and high-stakes matters
  • Prepare and design documents, reports, presentations, and briefing materials; collect and synthesize information for internal and external meetings
  • Manage travel logistics and itineraries, and complete monthly expense reporting
  • Serve as a light-touch internal tech liaison, troubleshooting routine issues and coordinating with external IT consultants when necessary
  • Conduct ad hoc research to support executive decision-making

Board Support and Liaison

  • Serve as the primary staff liaison to the Board of Directors, working closely with the Board Chair and Executive Committee to facilitate clear communication and strong governance practices
  • Coordinate logistics for all Board and Committee meetings, including scheduling, preparation and dissemination of Board materials, and drafting meeting agendas, notes and minutes
  • Prepare orientation materials for new Board members and coordinate onboarding processes
  • Maintain accurate Board records and contact information

Staff Operations and Team Culture

  • Develop and coordinate internal leadership communications that help staff connect their day-to-day work to AAPIP’s broader strategy and impact
  • Maintain the organizational calendar and track major cross-functional initiatives
  • Shepherd organization-wide planning processes, including annual reviews, organizational planning cycles, and individual work planning systems
  • Support a strong remote team culture through staff meeting coordination, retreats (virtual and in-person), surveys, and community-building moments

External Relations & Special Projects

  • Serve as a thoughtful steward of relationships across AAPIP’s national network, philanthropic partners, and community stakeholders
  • Prepare executive briefings ahead of key partner meetings and funder outreach to support ongoing relationship-building
  • Provide logistical and coordination support for the Annual Meeting & National Convenings, Conferences and other special events, including vendor coordination, budget tracking, Planning Committee liaison work, lodging, food and other logistics
  • Monitor the main organizational inbox and phone line; manage the general organizational
    calendar
  • Lead or support special projects of the President & CEO, as needed

EDUCATION, EXPERIENCE & QUALIFICATIONS
Outstanding candidates will bring many if not all of the following skills and experiences.
Experience & Education

  • 7+ years of experience providing high-level administrative or executive support, ideally within nonprofit, philanthropy, movement, AANHPI causes, or mission-driven organizations
  • Experience supporting senior leaders, chief executives and working with boards of directors, including meeting coordination and governance processes
  • Demonstrated ability to manage complex calendars, prioritize competing demands, and anticipate executive needs
  • Experience coordinating cross-functional projects or organization-wide initiatives, including project management and budgeting/forecasting
  • Familiarity with remote work environments and distributed teams
  • High School diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

  • Communication Excellence: Strong written and verbal communication skills, with the ability to draft correspondence, briefing materials, and internal communications clearly and thoughtfully

  • Relationship Stewardship: Ability to build trust and maintain collaborative relationships with staff, Board members, partners, and community stakeholders
  • Adaptability: Comfort working in a dynamic, evolving organization with shifting priorities

Technical Proficiency

  • Strong proficiency with Google Workspace (Gmail, Google Drive, Docs, Sheets, Slides)
  • Experience with collaboration and project management tools (Asana, Slack, Zoom, Dropbox, Neon CRM)
  • Ability to create polished presentations and meeting materials
  • Comfortable learning new systems and supporting light technical troubleshooting

WORK ENVIRONMENT, TRAVEL & PHYSICAL REQUIREMENTS

  • AAPIP is a fully remote organization with team members located across the United States.
  • Travel is required nationally as needed to support event management, conferences, and other organizational responsibilities.
  • This role requires regular use of a computer and virtual communication tools.
  • During events, the position requires moving around venues, standing for extended periods, and the ability to lift, move, and retrieve objects up to 25 pounds, as well as bend, stoop, crouch, and reach.
  • Event schedules may require early mornings, evenings, longer days, and weekends.

COMPENSATION & BENEFITS
The annual salary range for this exempt position is $65,000 – $75,000, commensurate with experience, skills and education plus a generous benefits package that includes medical, dental, vision coverage, life insurance, sabbatical policy, and 401K employer match.
