Job Description

The Administrative Associate provides high-level administrative support to the Executive team to facilitate their ability to effectively lead our multi-entity organization. This position will ensure smooth day-to-day operations by coordinating travel arrangements, managing expense reports, preparing documents, and maintaining calendars. This position is skilled at administrative responsibilities, is a strong writer, and can manage multiple tasks simultaneously. This person is organized and detailed, anticipates needs, maintains confidentiality, and takes direction well. The position will work closely with the Executive Director and be supervised by the Operations and Executive Administrator.

Responsibilities

All the responsibilities below are to support the Executive team.

-Arrange travel, accommodations, and event registrations.

-Update calendars with travel and event information.

-Assist with preparing and distributing documents, information, and other materials.

-Complete expense and mileage reports and credit card reconciliations.

-Organize digital files, emails, contact lists, and other information.

-Compose correspondence and respond to general inquiries.

-Coordinate meeting logistics, take minutes, and follow up on action items.

-Anticipate needs in advance of meetings, conferences, and other events, and keep the Executive team well informed of upcoming commitments and responsibilities.

-Appropriately handle matters of a highly confidential or critical nature.

-Exercise judgment to reflect Executive team members’ style and needs.

-Assist the Executive team with special projects as needed.

-Provide event management support as needed, such as for team meetings, staff retreats, and grantee gatherings.

-Assist with operational and project-related tasks as needed, supporting the broader Operations team.

-Participate in organization-wide strategy and planning sessions and participate on various teams to meet overall organizational goals.

Job Qualifications

Core Education, Experience, Knowledge, Skills and Ability

-Experience in nonprofit and/or philanthropic sectors.

-Excellent verbal and written communication skills.

-Meticulous organizational and tracking skills and attention to detail.

-Excellent time management with ability to meet deadlines and follow up appropriately.

-Exceptional judgment and capacity to exercise confidentiality and practice discretion

-Extremely proficient with Microsoft Teams/Sharepoint, Microsoft 365 (Word, Excel, Outlook, PowerPoint), Google Suite, Zoom, and the ability to learn new or updated software.

-Able to prioritize a large and varied workload, managing multiple tasks and details simultaneously.

-Functions well in a fast-paced and, at times, high pressure environment.

-Able to work remotely and productively and communicate responsively from a home office environment.

-Willing and able to travel on occasion.

-Able to work evenings and weekends when needed.

-A minimum of 2-5 years of full-time equivalent experience in a similar position.

Additional Education, Experience, Knowledge, Skills and Ability

-Direct experience working with immigrant and refugee communities, communities experiencing language barriers or that are predominantly Limited English Proficient, or culturally isolated.

-Knowledge of Asian American and Pacific Islander populations.

-Able to communicate via phone and videoconferencing, and to work at a computer for extended periods of time.

-Light lifting of materials and equipment in the typical work environment.

-Fluency in an Asian or Pacific Island language is an asset.
