Job Description

The Donor Engagement Coordinator works under the supervision of the Donor Engagement Manager to support the creation and implementation of successful events to engage, cultivate and steward major donors, mid-level donors, planned giving donors, and public support donors of Earthjustice. This position requires a self-starter who is able to work both collaboratively and independently and possesses strong interpersonal skills.

The position requires excellent writing and analytical skills, project management, diplomacy and discretion, donor relations skills, and the ability to adapt and think creatively. The Donor Engagement Coordinator must be able to manage multiple projects simultaneously, meet deadlines, and be highly detail-oriented.

This position performs a variety of project management, event planning, virtual event planning, and administrative tasks, including managing event invitation lists; responding to event inquiries; working events in person; updating records in the database; and producing event marketing collateral.

This position can be based in our San Francisco, CA office or remotely from the Bay Area.

Responsibilities

Virtual and In-Person Events Project Coordination (60%)

  • Under the guidance of the Events Specialist and Donor Engagement Manager, coordinate donor engagement opportunities like virtual events, house parties, and other events. Produce timelines and disseminate deadlines to relevant staff members create invitation materials, organize meetings with key stakeholders, distribute briefing memos, organize list reviews, and provide day-of support.
  • Independently lead virtual events and in-person events as needed. Make on-site decisions and troubleshoot issues in the field as needed. Serve as primary contact for all guests to answer on-site questions, resolve issues, and adapt itineraries as needed. Requires travel.
  • Serve as liaison between staff, hosts, trustees, guests, venues and other parties involved in an event, keeping all regularly informed before, during, and after the event.
  • Collect and share feedback to recommend improvements or modifications for future engagement opportunities. Provide event summaries and evaluations to key stakeholders and support Event Specialist with post-engagement follow-up items.
  • Manage the regular review and update of event procedures and toolkits.
  • Coordinate third-party speaker and event requests.
  • Support donor travel program as needed.
  • Other duties, as assigned.

Donor Marketing & Internal Communications (40%)

  • Coordinate across department teams to produce donor engagement marketing materials and communications, target audience lists, and outreach strategies.
  • Utilize project management tools and manage internal communication channels to communicate event updates and post-engagement follow-up across teams. Provide best in class customer service and oversee all incoming and outgoing communications with event invitees. Research and utilize best communication practices to increase deliverability and registration rates.
  • Work with stakeholder teams and vendors to coordinate the design, production, and promotion of event materials.
  • Oversee administration of email systems including EveryAction and events and travel Outlook accounts. Collect feedback and identify inefficiencies to recommend new communication systems.
  • Manage the list pull and review process for event invitations. Track guest information in database including RSVPs, ticket purchases, attendance, expenses, and communication preferences.
  • Help ensure database accuracy of all event records and assist with producing reports that track metrics in donor engagement trends and event related ROI metrics.
  • Participate in department and organizational work teams and projects, as needed.

  • Participate in internal committees and working groups to further institutional priorities and build an equitable, justice-centered work environment in which people from all backgrounds and experiences feel connected, included, and empowered.
  • Ensure the incorporation of inclusive practices in all duties and responsibilities, on a consistent and ongoing basis, including but not limited to verbal and written interactions with constituents and Earthjustice staff.

Job Qualifications

  • Bachelor’s degree or a minimum of three years’ relevant experience.
  • Three or more years’ experience working in donor relations, stewardship and engagement within a non-profit or philanthropic work environment preferred.
  • Exemplary organizational skills, including ability to handle multiple tasks, meet deadlines, and prioritize assignments.
  • Meticulous attention to detail, including excellent attention to data hygiene, and strong proofreading and copy-editing skills.
  • Experience in virtual event production with Zoom webinars preferred.
  • Ability to travel domestically several times a year and occasionally work evenings and weekends.
  • Ability to work and communicate effectively within a team and independently, and with donors, board members, the general public, and geographically dispersed colleagues.
  • Ability to work with supervisors and colleagues remotely.
  • Enthusiasm for communicating with supporters and potential supporters in person, on the phone and via e-mail.
  • Ability to maintain composure under pressure.
  • Exercises judgement to mitigate risk and care for the safety of guests during donor outings and events. Maintain CPR and First Aid training in order to respond to emergencies in the field.
  • Demonstrated experience working with CRMs, donor databases and an ability to further learn database management skills to produce reports and to use advanced functions.
  • Solid knowledge of MS Word, Excel, and Outlook required, and comfort with learning, evaluating, and integrating new software highly preferred. Graphic design software skills a plus.
  • Ability to use learned skills and understanding of existing program to initiate and help develop new systems over time.
  • Written and oral Spanish-language proficiency a plus.
  • Demonstrated self-awareness, cultural humility and inclusivity, and ability to work with colleagues and stakeholders across diverse cultures and backgrounds.

Salary is dependent on experience and location.

Salary range in San Francisco, CA: $78,600 – $87,300
