New Breath Foundation (NBF) offers hope, healing, and new beginnings for Asian American, Native Hawaiian, and Pacific Islander (AANHPI) new immigrants and refugees, people impacted by incarceration and deportation, and survivors of violence. NBF was founded in 2017 by Eddy Zheng, the first formerly incarcerated “juvenile lifer” to serve as Founder/President of a philanthropic foundation. The organization’s grantmaking programs and philanthropic advocacy seek to transform AANHPI communities directly impacted by violence due to the criminal legal and deportation systems.

Job Description

New Breath Foundation is growing its team to support its expanded grantmaking, fundraising, programs, and operations in service to our mission. The nature of this role and the organization as a start-up is a fit for people who thrive on being able to chart their own path to create solutions. The ideal candidate will balance and execute various administrative, database, and project management tasks well. They will help plan, organize, and implement projects and perform ongoing operational duties in service of NBF’s mission. 

To be an excellent Operations & Development Coordinator, you must be organized and detail-oriented, comfortable working with diverse teams, a great communicator, a self-starter, and open to feedback. If you have administrative, fundraising, and operations support skills, we’d like to meet you.

Operations & Development Coordinator Job Responsibilities include: 

Administration & Finance – 40% 

  • Support monthly budget and tracking expenditures/transactions 
  • Document, organize, and update records 
  • Process payments 
  • File organization’s documents appropriately 
  • Monitor inquiries sent to New Breath Foundation’s Admin email address
  • Administrative tasks such as scheduling meetings and events and note-taking 

Fundraising/Development – 40% 

  • Data and database management 
    • Be the primary point person for the DonorPerfect database, and conduct donor tracking, analysis, and reports using the software 
    • Integrate and customize additional DonorPerfect modules and create user documentation 
    • Data entry and cleaning for DonorPerfect, MailChimp, and related CRM and communications platforms 
    • Organize and provide an updated inventory of all data that is entered into the database 
    • Pull regular donor reports for the Director of Development and quarterly Board meetings 
  • Provide administrative support for fundraising activities and campaigns
  • Support grantwriting, reporting, and related development products 
    • Create and process donor acknowledgment letters 
    • Grants management with primary responsibility for documentation, tracking, and data collection for reports and proposals

Other Duties – 20% 

  • Participate in meetings, trainings, and staff development activities 
  • Support with NBF events planning and execution
  • Support any other related tasks as delegated by Management

Job Qualifications

Candidates for the Program Coordinator position typically have: 

  • 3+ years of related work with significant experience in database management, fundraising, Finance, or operations 
  • College degree or equivalent work experience
  • High level of proficiency in Google Workspace (Gmail, Google Docs, Google Sheets, etc.) and Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) 
  • Comfortable with software such as DonorPerfect, Asana, and Slack 
  • Experience with integrating data from one database to another 
  • Fluency and ease with project management across various types of projects

  • Superb time-management and organizational skills, including detail-oriented and efficient
  • Excellent verbal and written communication skills 
  • Proactive, resourceful, and creative with the ability to problem-solve

  • Enjoys creating responsive structures and systems from scratch

  • Must be able to work flexible hours 
  • Must be comfortable working in a remote work environment 
  • Able to work independently and as part of a team that supports the mission and diverse partners of NBF
  • Occasional travel to and/or in-person work may be required in the SF Bay Area
  • Applicants must be legally authorized to work in the United States on a full-time basis. Verification of employment eligibility will be required at the time of hire. Visa sponsorship in not available for this position.
